Your privacy matters to us

Your privacy is important to us as well as being clear and open about how we collect, use, and share information about you. This document is intended to help you understand why, when, how and what personal data are processed by Hekate Conscious Ageing Foundation (owner of Osmosis CareNet). You will learn how to contact us if you have any inquiries regarding the processing of your personal data or how to correct the personal data.

This privacy statement applies to the processing of personal data by Hekate Conscious Ageing Foundation (HCAF) via our Osmosis CareNet (OCN), via our website and other channels. The policy does not apply to websites or activities of other organisations to which Hekate Conscious Ageing Foundation refers. These organisations implement their own privacy policy, which you yourself must take note of.

Hekate Conscious Ageing Foundation, a non-profit organization that is registered with the Chamber of Commerce (KvK) and based at Doctor Plesmansingel 2, 1185GX in Amstelveen, the Netherlands, is responsible for processing of personal data as shown in this privacy statement. Balázs Somogyi is the ‘Data Protection Officer’ (DPO) Hekate Conscious Ageing Foundation. His task is to monitor compliance with the GDPR and he is your contact within Hekate Conscious Ageing Foundation for your enquiries, comments, complaints and claims regarding personal data protection.

Personal data that we process:
HCAF processes your personal data because you use or used Osmosis CareNet, our website and/or our services and/or because you have provided this information yourself. Below is an overview of the personal data we process:

  • First and last name
  • Date of birth
  • Sex
  • Primary country
  • Primary town
  • Nationality (if you gave us such information)
  • Your profile photo (if you uploaded)
  • The name of your own company (if you gave us such information)
  • Address (if you gave us such information)
  • Phone number (if you gave us such information)
  • E-mail address
  • Your resume including your photograph (if you gave us such information)
  • Other information provided by you

The purpose for processing personal data:
HCAF processes your personal data. To optimize our services and products, the data can also be used to improve the services of HCAF and to manage the relationship with the HCAF and OCN community, collaborators, sponsors, and other networks.
HCAF processes your personal data for the following purposes:

  • To send our advertising brochures and leaflets informing you about our products and services
  • To inform you about changes to our services and/or products
  • To inform you about our or our partners’ events
  • To obtain your feedback regarding HCAF and OCN services and events
  • To match you with the most suitable coach
  • To reconcile payments for OCN or HCAF services

HCAF also processes personal data if we are legally obliged to do so, such as information requested for our tax return.
We may use information about you where you have given us consent to do so for a specific purpose not listed above. For example, we may publish testimonials or featured customer stories to promote our services, with your permission.

How long and where we store personal data:
We use a (legal) retention period of 7 years for personal and address data, in particular for inspection by the tax authorities.

We use cloud storage Google Drive, WordPress, Microsoft Office to store personal data.

We use WordPress to host our website and OCN CareNet, Google survey for conducting surveys. We use the MailMan program for sending invitations and newsletters,  Microsoft Office to maintain our database of client files, Google Drive for storing data,  Zoom for arranging workshops and events,  Stripe, Eventbrite and PayPal for processing payments.

Cookies, or similar techniques:
HCAF uses technical, functional cookies as well as analytical cookies.

Automated decision-making
HCAF does not make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without a person being involved.

Sharing personal data with third parties:
HCAF will not sell your information to third parties and will only provide this information if this is necessary for the execution of our agreement with you or to comply with a legal obligation.

Withdrawal of consent to personal data processing and the right to view, modify and delete data:
If you have a relationship with our organization, you have the right to view, correct or delete your personal data. You also have the right to withdraw your consent to the data processing any time by opting-out or the right to object to the processing of your personal data by HCAF. Moreover, you have the right to data portability. This means that you can submit a request to us to send the personal information we hold to you or another organization mentioned by you in an electronic file.

You can also exercise your right to be forgotten. In such case HCAF will destroy all your personal data that it processes. Exception is cases when the processing is performed on the basis of a statutory obligation or for a legitimate interest of Hekate Conscious Ageing Foundation.

You can send a request for inspection, correction, deletion, data transfer of your personal data or request for cancellation of your consent or objection to the processing of your personal data to:  dpo@hekatefoundation.org

Hekate Conscious Ageing Foundation also wants to point out that you have the opportunity to file a complaint with the national supervisory authority, the Dutch Data Protection Authority.

How we protect personal data:
Hekate Conscious Ageing Foundation protects the data entrusted to it by technical and administrative security measures to reduce the risk of loss, misuse, unauthorised access, disclosure, and modification. If you feel that your data is not properly secured or there are indications of abuse, please contact us by mail: dpo@hekatefoundation.org

Updating personal data protection principles:
Hekate Conscious Ageing Foundation keeps personal data protection principles up-to-date and in compliance with applicable legal regulations. For this reason we reserve the right to adjust our privacy statement.
